Position Title Centralized Scheduling Clerk (Full-time) Great Bend Hospital COVID-19 and flu vaccines are required for all health system employees. Learn more Position Summary / Career Interest: Great Bend: Schedule procedures with patients and physician offices, answer phone calls, voicemails, examine orders for accuracy, and obtain authorization information from physician offices. Coordinate with radiology and physicians to assemble charts for procedures Responsibilities: Hays:
  • Enters electronic orders accurately and timely.
  • Receives written orders; verifies orders, equipment and information for accurate procedures, tests and therapy; schedules procedures, tests and preoperative clearance; and finalizes informed consent documentation.
  • Selects appropriate supplies and instruments for cases.
  • Collects patient identification and demographics, HIPAA forms, insurance information, collects co-pay, and documents indicated signs and symptoms, and consent for treatment. - Receives written orders; verifies orders, equipment and information for accurate procedures, tests and therapy; schedules procedures, tests and preoperative clearance.
  • Ensures accuracy of financial clearance for self pay patients through the CSR in Patient Accounts.
  • Schedules appointments, tests and procedures; sends patient communication regarding appointments/tests/procedures; completes and maintains registration process.
Great Bend:
  • Answer phone calls and voicemails in a professional and timely manner.
  • Schedule, confirm and maintain patient diagnostic appointments, surgeries and medical consultations for department.
  • Ensure payments for services by verifying benefits with the person’s insurance provider or working out financing options.
  • Review, analyze and forecast cancellations, double bookings or changes in schedules.
  • Take messages and gather information/orders for radiologist procedures.
  • Examine orders for accuracy.
  • Obtain authorized information from physician office.
  • Coordinate with radiologic technologists and physicians.
  • Assemble charts, including all information and paperwork. Add appropriate notes for reception and technologist.
  • Consult with financial office for self-pay patients.
  • Inform patients and physician offices of procedure prep (Ex: NPO).
  • Make decisions regarding procedures and priority (Stat vs. Non-Stat).
JOB REQUIREMENTS: Preferred:
  • Great Bend: High School Graduate or equivalent
  • Great Bend: 1 years working in health care (knowledge of procedures, terminology, etc.)
  • Great Bend: Knowledge of health insurance, processing personal information, answering phones or other office training

HIPAA: This position will have access to the following Protected Health Information in order to carry out the duties related to their position in Greater Kansas based on the following criteria:

Primary: required (routine) to do the job;
Secondary: required for the job, but mostly be exception; and
None: no approved access

Primary:
  • Patient Demographic Information (information used to identify a person): Name, Date of Birth, Address, Race, Marital Status, Religion
  • Financial Information/Insurance (information related to insurance, billing and payment): Billing Information, Payer Name, Payer ID, Account Balances, Plan Elements Covered, Payment Information, Payment Rates
  • Clinical Information (information that describes a patient's health status): Diagnosis, Reports/Medical Notes, Test Results, Problem List, Procedures, History and Physical
  • Coding Information (clinical information that is in (alpha) numeric format): ICD-9 Codes, Rev Codes, CPT Codes
Infection Control:
Initial and Ongoing training in dealing with infection control.
